Overview

​The Katsina State Health Services Management Board (KTHSMB) is seeking organized and detail-oriented Medical Record Technicians to join our Health Information Management teams. This Grade Level 07 position is fundamental to the integrity of our healthcare system, ensuring that patient data is accurately captured, securely stored, and readily available for clinical decision-making.

The Role

​The Medical Record Technician (MRT) is responsible for the professional collection, processing, and retrieval of patient health information. You will manage both physical and electronic medical records, ensuring that every patient’s medical history is documented in compliance with healthcare regulations and data confidentiality standards. We are looking for individuals who can bridge the gap between clinical documentation and administrative efficiency.

Key Responsibilities

  • Records Maintenance: Accurately create, update, and maintain patient medical records, ensuring they reflect the most current clinical information.
  • Patient Registration: Oversee the registration of new patients and manage robust filing systems to prevent data duplication.
  • Retrieval & Archiving: Efficiently retrieve records for clinical use and manage the systematic archiving of inactive files in accordance with retention policies.
  • Data Security: Ensure the absolute confidentiality and physical security of sensitive patient information at all times.
  • Clinical Coding: Assist in the professional coding and classification of diseases and medical treatments using standardized systems (e.g., ICD-10).
  • Digital Support: Support the management of Electronic Health Records (EHR) systems and assist clinical staff in navigating digital documentation platforms.
  • Quality Assurance: Verify the completeness and accuracy of clinical documentation, identifying and resolving discrepancies with relevant clinical staff.
  • Statistical Reporting: Extract and prepare health statistics and reports from medical records to support hospital management and public health planning.
  • Collaboration: Work closely with doctors, nurses, and administrative teams to promote best practices in medical documentation.

Requirements & Qualifications

​Candidates for this GL. 07 appointment must possess:

  • Academic/Professional: A Diploma or National Diploma (ND) in Health Information Management or a related field from a recognized institution.
  • Registration: Full registration with the Health Records Officers Registration Board of Nigeria (HRORBN).
  • Licensing: Possession of a valid and Current Practicing License.
  • Technical Skills: Proficiency in computer use, particularly Microsoft Office Suite, and experience with health information software.
  • Core Competencies: Strong organizational skills, high attention to detail, and a firm understanding of medical terminology and coding.
  • Ethics: A deep commitment to patient privacy and professional ethical standards.
  • Experience: Relevant experience in a hospital medical records department or a similar health data environment is highly desirable.
