Overview

​The Katsina State Health Services Management Board is looking for vibrant and highly organized professionals to fill the role of Administrative Officer. This Grade Level 08 position is central to the operational efficiency of our healthcare facilities. We are seeking individuals who can blend administrative excellence with a strong commitment to public service.

The Role

​The Administrative Officer plays a critical role in ensuring the smooth day-to-day operations of our healthcare institutions. You will be responsible for coordinating office activities, managing complex documentation systems, and supervising support staff. The role requires a high degree of multitasking, accuracy, and the ability to maintain professional standards in a dynamic hospital environment.

Key Responsibilities

  • Operational Coordination: Oversee daily administrative workflows to ensure office efficiency and seamless service delivery.
  • Records Management: Develop and maintain robust filing and documentation systems for official records, ensuring confidentiality and easy retrieval.
  • Staff Supervision: Provide guidance and supervision to junior administrative and support staff to meet departmental goals.
  • Official Correspondence: Draft high-quality reports, memos, and formal letters; manage internal and external communications professionally.
  • Logistics & Procurement: Manage office supplies, oversee procurement processes, and provide logistical support for hospital events and official activities.
  • Policy Compliance: Ensure all administrative actions align with the Board’s policies and the Katsina State Civil Service Rules.
  • Scheduling: Coordinate high-level meetings, manage appointments, and maintain official engagement calendars.
  • Decision Support: Provide data-driven insights and administrative support to management to assist in planning and strategic decision-making.

Requirements & Qualifications

​Candidates for this GL. 08 appointment must possess:

  • Academic: A Bachelor’s Degree or equivalent qualification from a recognized tertiary institution.
  • National Service: Evidence of a valid NYSC Discharge Certificate or a Certificate of Exemption.
  • Technical Proficiency: High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern office technology.
  • Communication: Exceptional written and verbal communication skills in English; ability to communicate in local languages is an advantage.
  • Experience: Relevant experience in office management or public administration is highly desirable.
  • Core Competencies: Strong organizational skills, multitasking ability, and a professional approach to problem-solving and service delivery.
